WHAT YOU CONTROL AND HOW IT WORKS



01 Your Account


AIVIA runs on the STEM-Away platform. A STEM-Away account is an AIVIA account — same login, same profile, no separate registration.


Account settings: Account settings — profile information, email, password, notifications — are managed through STEM-Away’s standard account settings. Changes apply across both the community and AIVIA features.


Account deletion: Account deletion is handled by contacting support. This is a manual process to ensure data is handled correctly and nothing is deleted accidentally.



02 Your Evaluation Data


All evaluation data — reports, scores, feedback, badges, resume tags — lives in the AIVIA dashboard. Candidates control which evaluations are visible to employers through the On Resume toggle. Evaluations toggled off remain in the dashboard for personal reference but are not discoverable by hiring teams.


Copying data: Candidates can copy their evaluation reports and feedback for personal use. However, copied data is no longer verified — AIVIA’s verification only applies to results accessed through the platform. A pasted report in an email or document has no way to prove it hasn’t been altered. The verified version always lives on AIVIA.



03 Data Privacy


Evaluation results are owned by the candidate. Hiring teams see only what the candidate has toggled On Resume. Context packs created by hiring teams are private to that team. AIVIA does not sell, share, or use candidate data outside the platform. See the privacy policy for full details.



04 Token Usage Cap


AIVIA’s candidate tools are free, with one limit: a token usage cap on chatbot features.


What Is Capped

AIVIA’s chatbot features — including the AI Career Assistant and other chatbot resources on the platform — use tokens each time they respond. There is a cap on usage to prevent misuse. A reasonable amount is available for normal use.


What Is Not Capped

Evaluations are not affected by the token cap. Taking evaluations, receiving feedback, viewing reports, building a portfolio, managing resume tags, and using the 1-Click Resume all work normally regardless of token usage.


Why the cap exists: The cap prevents misuse of the platform’s LLM resources. It is not designed to limit genuine candidates.


What happens when the cap is reached: Chatbot features stop responding until the cap resets. Evaluation and portfolio features continue to work normally.
